Payroll Coordinator Hours: Full time, 8:30 am - 5:00 pm Location: Lynchburg VA 24501 Position Summary: The Payroll Coordinator provides end-to-end payroll processing and ensures that Horizon payrolls are completed accurately, effectively, and on time for 700 employees. The Payroll Coordinator is responsible for preparing semi-monthly payrolls for hourly staff and monthly payrolls for full-time and part-time staff. The Payroll Coordinator utilizes a high level of attention to detail in ensuring that all direct deposit, deduction, garnishment, earnings, and tax changes are executed as appropriate. The Payroll Coordinator provides post payroll reports. Required Education and Experience: Knowledge skills and abilities comparable to that of a high school graduate are required. Two years of experience in full cycle payroll processing or an equivalent combination of training and experience that provides the required knowledge, skills, and abilities. Minimum Requirements: --- Minimum of 3 years of full cycle, automated payroll processing experience or an equivalent combination of education and experience. --- Strong knowledge of applicable FLSA and Affordable Care Act (ACA) compliance and reporting requirements. --- Must possess good basic math skills with ability to accurately perform manual calculations as needed. --- Strong knowledge of payroll principles, practices, regulations and procedures --- Wage garnishment experience. --- Excellent computer skills (Excel, Word, Outlook, Data Entry, 10-key), with strong Excel experience including ability to create reports as needed. --- Strong analytical & troubleshooting skills. Ability to identify basic problems and procedural irregularities, to collect data, establish facts and raw valid conclusions --- Strong organizational, prioritization and follow-up skills. Ability to work independently and meet required deadlines. --- Excellent customer service skills. --- Demonstrated ability to deal with confidential information. --- Must be a team player. --- Must be able to multitask. --- ADP payroll system experience is a plus. --- Associates degree in accounting, business or related field a plus. Major Duties Include, but are not limited to the following: --- Coordinates and processes payroll for all employees in compliance with federal and state wage and hour laws & regulations, as well as relevant Horizon Behavioral Health policies. --- Leads full cycle payroll, including completion of all semi-monthly, monthly, quarterly and year-end processes and reports. --- Coordinates transition of semi-monthly and monthly payrolls to biweekly payroll frequency schedule for implementation in 2018 & 2019, respectively. --- Performs payroll related reconciliations, adjustments and related reports. Researches and resolves payroll issues and provides appropriate communication to management/team members and third party vendors. --- Provides assistance to employees and supervisors in regards to completion of electronic timesheets. --- Displays a high level of sensitivity to the individual needs of employees in understanding and resolving pay problems. --- Maintains procedural manual for payroll processes. --- Provides payroll informational presentation at New Hire Orientation --- Provides training to employees and supervisors on web time entry and other payroll related subjects. --- Processes pay verifications and wage garnishments. --- Assists in other human resources and administrative support duties as needed, including back-up front desk coverage. Related Knowledge, Skills and Abilities: ---Ability to accurately and reliably complete full cycle payroll processing within established expectations and communicated deadlines. ---Ability to calculate leave without pays, termination payouts, overtime payments, special pays, bonus payments, etc. ---Ability to construct employee correspondence to effectively communicate payroll requests or needs of a technical nature. ---Ability to develop and maintain organized filing systems (electronic and physical files). ---Ability to identify customer needs and respond with appropriate customer service driven transactions. ---Ability to maintain the confidentiality of private and personal employee information. ---Ability to manage time and ensure multiple competing priorities are met. ---Ability to perform accurate math calculations, including the use of percentages. ---Ability to promote positive, collaborative, and professional working relations among co-workers and representatives in the community. ---Ability to respond effectively to changes in the work environment in a positive and professional manner. ---Willing and available to work modified schedules (weekends, holiday, etc.) as required. ---Ability to use a computer to access information, input data, create calculations, and complete payroll related transactions. ---Ability to drive and must possess a valid driver's license. May be required to travel to different Horizon worksites during the day based on operational needs or provide admin support at other locations. Regular attendance at trainings and Horizon meetings may require travel to a variety of Horizon sites. ---Knowledge of customer service techniques and best practices. ---Knowledge of Payroll and Electronic Time Keeping Systems. ---Knowledge of the principles, legal guidelines, procedures, and techniques related to payroll processing and related transactions. ---Skill to analyze needs and determine/locate appropriate resources. ---Skill to communicate effectively both orally and in writing. ---Skill to operate a multi-line telephone system to answer, transfer, and hold calls. ---Skill to effectively use Microsoft Office Suite. ---Skill to train users on the day to day operation of time keeping systems and payroll related processes.
